This policy explains how BELLBOTS handles information in Bell Worker and BellBots Home OS, including voice requests, worker identity, home operations and participant support records.

Who we are

BELLBOTS PTY LTD, trading as BELLBOTS, provides Bell Worker and BellBots Home OS to authorised disability-support organisations and their workers. Contact our privacy team at info@bellbots.com. The support provider using Bell may also have its own privacy policy and responsibilities for participant and worker records.

Information Bell may handle

  • Identity and access: worker name, work email, account identifiers, role, provider, assigned home and active-shift status.
  • Support and operational records: participant names, meals, drinks, activities, exercise, outings, shopping items, reminders, handovers, medication-assistance records, maintenance requests and incident drafts.
  • Voice and written requests: push-to-talk audio, transcripts, translations, corrections, confirmations and Ask Bell questions.
  • Home interactions: authorised device commands, device and sensor status, and the worker confirmation attached to an action.
  • Technical information: a random app-installation identifier, push-notification token, app version, timestamps, service logs and security events.
Bell Worker version 1.0 does not request GPS location, contacts, camera or photo-library access. BELLBOTS does not use the app for advertising or cross-company tracking.

How we use information

We use information to:

  • verify the worker and enforce provider, role, home and shift permissions;
  • transcribe or translate a request and return a spoken or written response;
  • prepare, review and confirm support records and authorised home actions;
  • deliver reminders only while the worker is checked into the relevant home;
  • maintain audit evidence, protect the service, diagnose faults and prevent duplicate actions; and
  • improve Bell through controlled review of misunderstood or corrected requests.

Bell assists workers with capture and retrieval. It does not make clinical decisions, invent clinical claims, decide whether an incident is reportable, or directly submit incident information to the NDIS Commission or Auditly.

Voice processing

The phone records only while a worker holds the gold Bell button. The temporary phone recording is deleted after the request finishes. Bell processes the audio in memory for transcription and does not save the raw recording as a Home OS record. Bell may retain the transcript, translation, interpretation, correction, confirmation, worker, home and timestamps as governed evidence.

Microphone access is optional, and workers can use private typing instead. Permission can be removed at any time in the phone's settings.

Service providers

BELLBOTS uses specialist providers to operate Bell. These currently include Base44 for application hosting, authentication and backend services; OpenAI for language and speech processing; Cartesia for spoken responses; and Expo and Apple for app delivery, notifications and TestFlight. They receive only the information needed to provide their part of the service and process it under their applicable agreements and security terms.

Some providers may process information outside Australia. BELLBOTS and the relevant support provider assess service arrangements and take reasonable steps to protect information handled by overseas recipients.

Storage, security and retention

Bell uses encrypted connections, secure phone storage for sign-in tokens, backend permission checks and audit records. Participant information is covered when Bell Worker moves into the background. Access is restricted to the worker's verified identity and permitted homes.

Information is kept only for as long as required for the support service, safety, security, audit, contractual and legal purposes. Care and incident records may need to be retained under the support provider's policies and applicable Australian and NDIS requirements. When information is no longer required, it is deleted or de-identified where lawful and technically practical.

Access, correction and deletion

You can ask to access or correct personal information, request deletion where lawful, or raise a privacy concern by emailing info@bellbots.com. Include your name, provider and enough detail for us to locate the request without sending unnecessary participant information by email. If the information belongs to a support provider's record, we may work with that provider to respond.

Optional notifications and microphone access can be changed in phone settings. Removing a permission may limit the related Bell Worker feature without removing existing records that must lawfully be retained.

Privacy concerns and changes
